Balsall Common Primary School Website Policy
Purpose of Website
Balsall Common Primary School values the contribution that a website can make to the life and role of the school in a modern society. Balsall Common’s school website has 5 important roles:
- To promote the school;
- To provide information to prospective parents and teachers, the wider community and the world;
- To act as a communication channel between teachers, parents, pupils and school management;
- To improve pupil learning;
- To raise standards in teaching and learning.
Website Structure
The school website is http://www.bcpsonline.org.uk. The site is hosted and built using the Bambooing product, from Sammedia. Bambooing is a secure education utility, combining content management system and extranet site builder.
There are two main sections to the site: -
The published site, which is available to anyone in the world with Internet access.
The extranet site, which is available to members of the school community with usernames and passwords to the site.
Within the extranet site, there are a number of sub-sites, for Teachers only, Governors only and PTA only.
Bambooing allows the Site Administrator to create an unlimited number of users that can access and add content to the extranet. Users are teachers, pupils, administration staff, governors and parents. All users will be created using the model firstnamelastname.
Safeguards
The safety of children and other users who appear or are referred to on the published site and extranet is of paramount importance.
1. Access and Approval
The Site Administrator has full access to the school website. By default, all pages are locked for editing by the Site Administrator only. However, pages can be unlocked by the Site Administrator for individual users to edit.
The Site Administrator has full control over adding new pages to the site. Users have to request a new page, which can then be created and unlocked for editing by the individual user.
All content for publication to the website will be checked and approved by the Site Administrator prior to being published.
2. Names, pictures and content
Adult's names will be published as their title and last name e.g. Mr. Davies. Children's names will be published as their first name only e.g. Trevor, or if required, first name and last name initial e.g. Trevor D.
Any images of children will not be labelled with their names.
No close up pictures of individual children will be available online- only group photographs with two or more children.
Children will only be shown in photos where they are suitably dressed.
Personal details of children, staff and governors, such as home addresses, telephone numbers, personal e-mail addresses, etc, will not be released via the website or school e-mail.
All users will be given the opportunity to submit information to appear on the website (subject to approval as set out in section 1 above).
3. Privacy
Adults have the right to refuse permission to publish their image on the published site or extranet.
Parents have the right to refuse permission for their child's work and/or image to be published on the published site or extranet.
Those wishing to exercise this right should express their wishes in writing to the Headteacher, clearly stating whether they object to work, images, or both being published, to the published site or extranet. Parents will be notified of this right by publication of this policy on an annual basis with an acknowledgement receipt attached.
4. Monitoring
The School Administrator will check material before it is uploaded to ensure that it is suitable and complies with the record of objections held by the Headteacher and with copyright laws (as far as is possible). Any persons named on a web page can ask for their details to be removed.
New pages will be tested for errors immediately after installation.
The web pages will be regularly reviewed for accuracy and will be updated as required. This review will occur at least annually. It will be the responsibility of the Site Administrator, school management and staff to ensure this happens.
5. Maintenance and Editing
Written instructions and manuals will be available and maintained by the Site Administrator covering how to update the website.
At least two people should have the knowledge to maintain and edit the site, and they must pass on their knowledge to a successor at the end of a term of office.
Email
Bambooing has an optional email component, which the school has adopted for use.

Pupils will have a “school-only” email environment, meaning that they can only send emails to other users of the school website. They will not be able to receive unsolicited email from the outside world.
Teachers will be able to send and receive emails externally.
Parents and governors will be able to send and receive emails externally.
